Quick answers
Do I have to pay anything to book the call?
No. The call is free. A 30% deposit to lock your dates is optional. You only pay it if you want to reserve confirmed dates.
Is the deposit refundable?
Fully refundable for 14 days after you pay it. After that 14-day window it's non-refundable, since we've already committed your team and any pre-purchased tickets. Postponement to a later date is always available, no questions asked.
Note: deposits paid within 30 days of your trip start date are non-refundable from the moment they are paid because there is no time to fill the spot if you cancel.
What if I'm not sure on dates yet?
Take the call anyway. We can chat ranges and lock in once you're sure. Most people book 2-6 months out.
Do I need a visa for Brazil?
Yes, US passports need an eVisa. It's fully online, $80.90, good for 10 years, and most people finish it in about 30 minutes. We wrote up every step: the Brazil visa walk-through.
Do you book my hotel and flights?
Not by default, but we can on request. Most travelers book their own hotel and flights direct. BBE focuses on experiences, route planning, transport, and Experience Concierge support. If you want us to source the hotel or advise on flights, tell us on the call and we add it as a sourcing add-on.
How much is the deposit?
30% of your trip total, paid upfront to reserve confirmed dates. Common deposits are $150 for about a $500 trip, $450 for about a $1,500 trip, $750 for about a $2,500 trip, and $1,050 for a $3,500 flagship trip. The remaining 70% is due 2 weeks before arrival and is refundable until that point.
Will I talk to Bryant directly?
Yes. Bryant runs every intake call personally.
What if BBE has to cancel?
Full refund, every time. Plus we work with you on rebooking dates at no penalty.
What if Carnival or an event gets moved or cancelled?
Mega-events have moving parts. If an organizer reschedules a parade, a camarote, or a party, we move you onto the new date or the closest equivalent at no penalty from us. If something is cancelled for reasons outside anyone's control (weather, strikes, public-health or government orders) and cannot be replaced, we refund every dollar we have not already committed on your behalf. We never keep money for a night that did not happen on our side.
Should I buy travel insurance?
Yes, and this is not a sales pitch, since BBE does not sell it. For a trip built around a fixed date like Carnival or New Year's Eve, a policy with trip-cancellation and medical coverage protects you from the things none of us control: a missed flight, an illness, an emergency at home. We'll point you to reputable providers on your call.
How do Sambadrome and party tickets work?
Tickets to the Sambadrome, camarotes, and specialty parties are issued by third-party vendors and organizers, and we source them for you. They sell out early, and once an organizer sets its terms, those terms govern that ticket: some are non-refundable or non-transferable even when the rest of your trip stays flexible. We tell you in writing which is which before you commit to any of them, so nothing surprises you later.
